How to make your booking – the main steps.

This is intended as to be an at a glance guide to the main tasks to be followed in order to complete your booking successfully, and in a timely fashion. It should help you plan the tasks, and perhaps make diary notes about what to do, and when to do it.
We use “D” as an abbreviation for “Departure day”.

D – 18 months
If you are ready to book, then you can hold your booking with a deposit of £400.00.
D – 12 months
Confirm your booking by making up deposits paid to aggregate £50.00 per paying person travelling. We do not require names at this stage, and we try still to be flexible about numbers – either increasing or decreasing them
Check the sheet on this CD – “Booking your trip and getting value for money” – you may very easily be able to increase the number of staff places available to you, or reduce the price of your trip.
At this stage, you should also complete and despatch our Group Booking Form – also available on this CD – see “Useful Forms – Booking Form Groups”
D – 5, 4 or 3 months approximately
Book your parents evening, and a clothing hire supplier. We can fulfil both functions, saving you time in chasing up another contact.
Complete and return to us the Ski Group Information Sheets – both Participants Details and Equipment Hire Record.
Check that you have received your hotel room list, with your allocation clearly marked on it.
Ensure that you have made us aware of any special requirements – dietary – medical etc that you think we need to be aware of.
Send us a map of the pick up point (marking clearly exactly where the coach needs to meet you), and a mobile phone number for use on departure day.
D – 10 weeks
Collect balance payments, and despatch these to us so that they arrive with us for D – 8 weeks.
Finalise any queries on the Ski Group Information Sheets or the hotel rooming list, if there are any.
D – 2 weeks
Check receipt of finalised travel details, and check that they correspond with what you were expecting.
D Day
Depart as per the schedule – last task is to fill in the ferry company’s passenger list on the way to Dover. All passengers and the drivers should be included.
